Users and Permissions
Manage easyCMS users, user groups and feature permissions on Enterprise accounts, delegate signage content safely across teams, sites and clients.
When a team, several branches or your own clients need access, give each person a login with just enough power for their job.
Good to know The easyCMS account and the PRO account have a single login. Several users with roles and permissions is an Enterprise feature, made for agencies, resellers and multi-site businesses. Studio has no users page: users, groups and sharing are managed in the advanced editor (classic easyCMS).
Three kinds of user
| User | What they can do |
|---|---|
| Super admin | Everything: all content, screens and users. Keep it to one or two people. |
| Group admin | Manages the users and content of their own group, for example a site manager. Cannot create folders, change folder sharing or authorise a new screen. |
| Standard user | Works within what their group allows, such as uploading media, editing their own layouts and scheduling. Sharing their own items is a right their group must be given. |
User groups decide what people can do
Permissions are set per user group, not per person: which features its members can reach. Ready-made groups for common roles can be copied and adapted.
A pattern for a business with several sites:
- One group per role: “Content editors” (library and layouts), “Schedulers” (adds the schedule), “Site managers” (adds screen monitoring).
- One display group per site, shared only with the people who run that site.
- A home folder for everyone, so their uploads land in their own area.
Folders decide which items they can touch
Put media, layouts and campaigns into a folder per team, site or client, and share each folder with the right group as view, edit or delete. New items in a shared folder take its access. A client’s group sees only their own folder and screens.
Watch out Everything an item uses must be in the folder too. A layout moved into a client’s folder while its images stay outside opens for that client with pieces missing. Move a layout with its media, and a campaign with its layouts.
Creating folders and setting how they are shared is a super-admin job. On a new account, tell us the structure you want and we will set it up.
Dashboards and quotas
Each user lands on a dashboard that suits their role: the Status Dashboard for a super admin, the Icon Dashboard for most people, or the Media Manager or Playlist Dashboard for someone who only handles content. Quotas can limit how much of the shared library space a group may use.
