Users and Permissions
Manage easyCMS users, user groups and feature permissions on Enterprise accounts, delegate signage content safely across teams, sites and clients.
A single login is fine for one person running a few screens. As soon as a marketing team, several branches, or your own customers need access, you want individual accounts with just enough power to do their job, and no more. Multi-user administration with custom roles and permissions is part of the easyCMS Enterprise account, which also includes white-label branding, making it the platform of choice for agencies and resellers managing signage for clients.
User types
easyCMS distinguishes three levels of user:
- Super admins see and control everything: all content, all displays, all users, plus a status dashboard summarising storage, bandwidth and display activity. Keep this role to the one or two people who actually run the platform.
- Group admins manage the users and content within their own user group, a good fit for a site manager or a client-side lead who looks after their team without seeing the rest of the network.
- Standard users work within whatever their group grants them: typically uploading media, editing their own layouts and scheduling to the displays they are allowed to see, with the ability to share their items with colleagues.
User groups and feature permissions
Rather than configuring each person individually, permissions attach to user groups. A group defines which features its members can reach, media upload, layout design, scheduling, display management, and so on. easyCMS ships with sensibly pre-configured groups matching common roles (content editor, scheduler, administrator), and you can clone or create groups for your own structure.
A practical pattern for a multi-site business:
- Create one group per role: “Content editors” (library + layouts), “Schedulers” (library + layouts + schedule), “Site managers” (adds display monitoring).
- Create display groups per site, and share each site’s displays only with the people who run that site.
- Give everyone a home folder, so their uploads land in their own area by default.
Sharing and folders
Feature permissions decide what kinds of things a user can do; object sharing decides which specific items they can touch. The cleanest way to manage this is with folders: organise media, layouts and campaigns into folders per team, site or client, then share each folder with the relevant group, granting view, edit or delete rights as appropriate. New items inside a shared folder inherit its access, so day-to-day work needs no per-item fiddling. Users can additionally share individual items they own when a one-off collaboration calls for it.
This model is what makes easyCMS safe for client-facing setups: a client’s group sees their folder and their displays, and simply has no path to anyone else’s content.
Dashboards and quotas
Each user gets a home dashboard suited to their role, administrators land on the status overview, while restricted users can be pointed at a simplified media or playlist view that hides everything they do not need. Where storage discipline matters, quotas can limit how much of the shared library space a group may consume.
White label context
Enterprise accounts can run easyCMS as a white-label platform: your own logo, colours and product name, on your own custom domain, on the CMS your users log in to.
